Qualify before the calendar, not after.

A coaching business was booking plenty of calls and closing almost none of them. The ads weren't the problem. The order of operations was.

The circled box.

Here's the situation we walked into. A coaching business with a strong video sales funnel, a healthy ad budget, and a calendar full of booked calls. On paper, everything was working. In the room, the sales team was exhausted. Most calls went nowhere.

When we pulled the numbers, the pattern was obvious within an hour. The booking link sat right after the video. Anyone who was curious could grab a time. Curious isn't the same as ready, and the team was spending forty minutes a call finding that out.

What we changed

We put one step between "I'm interested" and the calendar. A short application: five questions, two minutes, nothing clever. What do you do, what's the goal, what have you tried, what's the timeline, what's the budget range. The answers routed people. Ready went straight to the calendar. Not ready got a kind email with a resource and a follow-up sequence that checked back in over the next six weeks.

Then we changed what the ads optimized for. Not form fills. Not applications. Booked calls from qualified applicants. Meta is very good at finding more of whatever you tell it to count, so we told it to count the thing that mattered.

What happened

Fewer calls. Noticeably fewer. The team panicked for about a week. Then the close rate climbed, because the people on the calendar had already told us they were ready. In one measured stretch, 127 booked calls became 27 high-ticket clients, and the account settled at a 4 to 8x return on ad spend. Same offer, same ads, same team. Different order.

Why it works

A qualifying step feels like it adds friction, and it does, deliberately. Friction filters. The people who clear it are more committed by the time they reach you, and the people who don't aren't lost, they're just not on your calendar yet. Your follow-up sequence keeps the conversation going without costing anyone an hour.
